How We Built a Custom Financial-Sourcing Tool (FST) for Telenor's Largest Subsidiary

1. The Challenge (The Million-Dollar Gap in Global ERPs)

Our client, a telecom giant with millions of subscribers, manages a massive global supply chain. While they utilized COUPA (a multi-million dollar global ERP) for generating Purchase Orders (PO), a massive operational bottleneck existed between PO issuance and final bank payment via LC (Letter of Credit).

• The Messy Middle: Cross-departmental approval flows, government compliance docs, insurance, bank guarantees, and C&F updates were entirely manual.
• Email & Excel Chaos: High-volume data, heavy scans, and internal SLA tracking were managed manually via hundreds of Excel sheets and endless email threads.
• Visibility Blackout: Management lacked real-time visibility into the performance of individual departments and the overall pipeline status.

2. The Solution (FST Architecture & Implementation)

To solve this, Aqa Technology engineered and deployed FST (Finance-Sourcing Tool)—a secure, centralized enterprise application hosted on AWS Cloud.

• Role-Based Multi-Vendor Ecosystem: Built dedicated modules and dashboard interfaces not just for internal teams, but also for external stakeholders including global suppliers, commercial banks, insurance companies, and C&F agents.
• Automated Workflow Engine: Created a smart pipeline that pushes milestones seamlessly from Sourcing to Finance, tracking live approvals and rejections with automated email triggers.
• At-a-Glance Compliance Auditing: Designed an integrated view where approvers can verify all related attachments, data validations, and automated financial calculations instantly without manual downloads.
• Daily Management Intelligence (P2P Reporting): Implemented an automated cron-system that generates and dispatches comprehensive daily Procurement-to-Payment (P2P) performance and forecast reports straight to the executive leadership's inbox.
• Cost-Efficient Tech Stack: Engineered using open-source architecture (PHP, MySQL, jQuery) to eliminate heavy enterprise licensing fees while sustaining high-volume concurrent traffic since 2015.
